Selection of Important Data and Appropriate Backup Device

What would happen if your child were to play with the keyboard and accidentally delete the file, or your teenaged son clears up the drive to download music? Worse still, a burglar might simply walk away with your laptop. The data is more valuable than the computer to you. However, the burglar might not think so.

By picturing such a scenario, we are not trying to frighten you. Our intention is to stress the point that computers are prone to risks. Create a backup of your important files. Many of you might say that your home personal computer has little data of any real value. Think twice. Scan through your computer. You would realise that many important files lie unnoticed and unrecognised by you. For example, your computer might contain your financial transaction, tax details, important emails you received or sent, email address book, the music and games you downloaded, your office work (if you happen to work from home) and above all the lovely photographs of your family, that are priceless.

Selection of Files for a Backup

Looking through your computer you would realise that much important data exists. You might eventually realise that all the generated data is important and feel like creating a back up for every little file on the computer. This is a virtual impossibility, more so if your pc is used by many members of your family. Selection of important data is difficult. Yet, it is the first step for initiating a backup. A few points help identification of important files.

  • Files created by the computer user are important

  • All data that cannot be replaced is vital.

  • You need not create a backup for office application software.


Data selection also determines your choice of an appropriate backup device.

Selection of Media for a Backup

If you have a single computer at home, you can think of creating a backup in another drive of the same computer. However, this method exposes your data to all the dangers inherent in an onsite placement of data storage device. If you have two or more computers networked create a back up in the free space available on another computer. However, the limited availability of free space proves restrictive.

External storage devices are many. You can also make a choice analysing the pros and cons of all. Floppies are no longer popular for the limited storage capacity they have. They are at best used for transferring data. Magnetic tapes had been traditionally in use since long. It is portable, relatively economical and has huge data storing capacity. It requires a tape drive for data transfer and retrieval.

Many users prefer the external hard drive like a USB as an ideal medium for home usage. It is small yet, holds large amount of data (128 MB to 2 GB) Files can be added and deleted as frequently as required. Transferring data is easy. They do not contain fragile parts that get damaged when dropped. Portability of the drive confers the benefits of an offsite placement of the storage media.

Even remote data backup service has many advantages. It offers all the advantages of an offsite placement and is also economically priced. Further, the files can be accessed anytime of the day from any place in the world.

Before you make your choice take into account the,
  • Quantum of data you have

  • Time you can allot for regularly updating the backup

  • Money you are willing to invest in backup media

  • Reliability of the back up device used. In other words, the number of years you require the data. .


Your data is important and you may require it for many years, a back up is thus important. Selecting the right file and the right media is only half the job done. Data backup is truly effective only if you regularly keep it updated. Procrastination is dangerous. The magnitude of the danger would be realised only when the computer fails. All computers fail, at some point of time and computer failure rates stand at 100%.
